Delivery Terms

Clear expectations help projects run smoothly. Below you’ll find general delivery terms that cover lead times, packaging, documentation and receiving goods. Final terms are confirmed in your quote and order confirmation.

Scope

These Delivery Terms set general expectations for B2B deliveries coordinated by Actitrade. Final terms are always confirmed in your individual quotation, order confirmation and transport documentation.

If you require specific requirements (time windows, tail-lift, offloading, site access rules, labelling, pallet exchange), please include them in your request.

Lead times & availability

  • Lead times depend on product group, production schedules, supplier availability and your delivery location.
  • We confirm estimated readiness and dispatch dates in writing before shipment is arranged.
  • For phased deliveries (projects), we can plan a delivery schedule aligned with your site milestones.

Incoterms & responsibilities

The applicable Incoterms (e.g. EXW, FCA, DAP, DDP) are agreed per order/quote. Responsibilities for loading, customs (if applicable), insurance and last-mile delivery depend on the chosen Incoterms.

If you are unsure which option is best for your business, we can recommend a practical approach based on your delivery location and operational needs.

Packaging, labelling & palletisation

  • Goods are prepared for transport in accordance with product type (palletised, boxed, protected edges, wrapped).
  • Additional labelling (site/room labels, destination-based sorting, barcode labels) can be arranged on request.
  • Pallet exchange terms (if any) must be agreed in advance, as they vary by route and carrier.

Delivery windows, access & unloading

Standard deliveries are arranged within reasonable delivery windows. For constrained sites (city centres, construction sites, restricted access), please provide access rules and unloading conditions.

  • Site opening hours and preferred time window
  • Offloading method (forklift / manual / tail-lift requirement)
  • Parking/bay access, height/weight restrictions, permits (if applicable)

Receiving goods & claims

Please inspect goods at delivery and record any visible damage or shortage on the delivery note/CMR. Photographic evidence is strongly recommended.

  • Count pallets/packages and verify labels against your order
  • Note any damage/shortage in writing before signing
  • Send your claim to sales@actitrade.eu as soon as possible with photos and documents

Documentation

Typical documentation includes invoice, packing list and transport documents (e.g., CMR). Additional documents may be provided depending on product group and requirements (e.g., declarations, certificates, technical data sheets).
